Website or web app? How to tell what your business actually needs

The difference decides your budget, timeline and technology. Here is a practical way to work out which one you need — and when you need both.

"We need a website" is one of the most common ways a software project begins — and one of the most common sources of mismatched expectations. Sometimes the business needs a website. Sometimes it needs a web application. Often it needs both. Knowing the difference early keeps budgets and timelines realistic.

A website informs. A web app does work.

A website mainly presents information: who you are, what you offer, why someone should trust you and how to contact you. Its job is to persuade and to generate enquiries. A web application lets people do things: log in, manage data, place orders, book appointments, track progress, generate reports. Its job is to complete tasks.

Signs you need a website

  • Most visitors want to learn about you and then call, email or fill a form
  • Content changes occasionally — services, projects, blog posts
  • There is no need for user accounts
  • Success is measured in enquiries, calls and visibility in search

Signs you need a web application

  • Users need to log in and see information specific to them
  • Your team currently manages the process in spreadsheets or chat groups
  • There are different roles — admins, staff, customers — who see different things
  • The system must store, calculate or report on business data

When you need both

Many growing businesses need a fast, search-friendly marketing website for discovery and a separate application for customers or staff once they sign up. Keeping them separate lets each do its job well: the website stays quick and easy to update, while the application can evolve on its own release cycle.

Questions to answer before you brief a developer

  • Who will use it, and what is the single most important thing they need to do?
  • Does anyone need to log in?
  • What happens today without this system, and what does that cost you?
  • Which existing tools must it connect to?
  • What does success look like six months after launch?

Clear answers to these questions make estimates more accurate and help your development partner recommend the simplest solution that genuinely solves the problem.
